Question 1

How much does Apex Ops Desk cost?

Accepted Answer

Apex Core is $150 a month and covers your first 3 aircraft with unlimited users — the whole operational shield, with nothing important behind a paywall. Beyond three aircraft it's a flat +$35 a month per tail, so 4 aircraft is $185, 5 is $220, and 6 is $255. One-time white-glove onboarding is $500. Every number is published in the open — you never need a sales call to learn the price.

Question 2

Do you charge per user or per pilot?

Accepted Answer

No. Pricing is per aircraft (per tail), not per seat. Whether you have 5 CFIs or 50, the price stays exactly the same and every user is included. We believe your software should scale with your revenue-generating assets, and we will never punish you for growing your team.

Question 3

Do I have to sign a long-term contract?

Accepted Answer

No. Apex Ops Desk is month-to-month — we earn your business every month and never hold your operation hostage. If you'd rather pay annually, there's an option to pay for 10 months and get 12.

Question 4

Are there any other fees?

Accepted Answer

We believe in absolute transparency. Aside from your monthly rate, the only other cost is a one-time $500 white-glove onboarding fee — we move your data, set up your fleet and rates, and digitize your SOPs and checklists so you're ready on day one. Online payments run on Stripe at cost, with zero markup on card fees.

Question 5

Who handles moving all our paper records into Apex?

Accepted Answer

We do! We know you are too busy flying to act as a data entry clerk. Our service handles the heavy lifting. We take your current paper binders, your pilot's and aircraft's document expirations, organize them, and build your digital vault from scratch so you are ready to go on day one.

Question 6

Will this be too complicated for my instructors or mechanics?

Accepted Answer

If they can send a text message, they can use the Apex Ops Desk. We built this software from the hangar floor up, not in a Silicon Valley boardroom. The interface is designed to be fast, obvious, and frictionless so your team spends less time clicking and more time flying.

Question 7

I want to make a change to a policy. How does that work?

Accepted Answer

Just call, text, or email us and we handle the updates. We not only update the document, but we archive the previous versions so you always have a historical audit trail. A digital "Read & Sign" alert is then sent out to all of your staff with timestamped signatures, so everyone is absolutely clear on the new standard.

Question 8

My team uses daily checklists. Can these be used on the Ops Desk?

Accepted Answer

Yes! All of your custom forms and checklists can be completed right in the system. Whether on a phone, iPad, or computer, they are stored and accessible instantly. Need to see if a student noted a dent on the vert stab during a preflight last week? You don't need to dig through stacks of paper — just search the date and read the exact notes left by that pilot.

Question 9

How does the maintenance tracking work?

Accepted Answer

When a CFI finds a discrepancy, they log the squawk directly from the cockpit. Your DOM gets the alert instantly, eliminating the old whiteboard and group-text system. You can also input any calendar inspections and the system will trigger custom alerts so you never accidentally miss an inspection date.

Question 10

How does the Ops Desk actually help us be more efficient?

Accepted Answer

Our reporting system captures your daily data to highlight long-term trends, exposing procedural gaps and margin-eating inefficiencies before they become major problems. Furthermore, Apex analyzes anonymized trend data across all our partner flight schools. This allows us to share industry-wide best practices with you, helping refine your procedures to create a safer, more profitable operation.
