Flight-line operations software

Your flight school's operations, on one desk.

Apex Ops Desk replaces the clipboards, spreadsheets, and missed invoices with one simple system — so you spend less time on admin and more time on the flight line. Built by aviation people. Priced in the open.

The admin trap

Too much paperwork to keep up with. Not enough to justify another hire.

Most small flight schools live in the gap between those two facts. The owner is also the dispatcher, the bookkeeper, the compliance officer — and half the time, the instructor. Hours disappear into scheduling conflicts, chasing payments, and tracking who's current on what.

Apex Ops Desk isn't one more thing to manage. It's how you manage the things you already do, in a fraction of the time.

What it does

One system for the whole operation.

Everything a flight school touches in a day, connected — so a flight that flies actually gets billed, and a student who isn't current can't get airborne.

01

Scheduling

See the whole flight line

Book aircraft and instructors without double-booking. Grounded aircraft drop off the schedule automatically — nobody books a plane that can't fly.

02

Dispatch & Hobbs

Capture every tenth of an hour

Hobbs and Tach get recorded at dispatch and check-in. The flights that used to go out and never get billed get billed, accurately, every time.

03

Billing & ledger

Stop chasing money on paper

Each flight becomes a clean charge at the rates you set. Students see an itemized ledger and pay online. You stop reconciling sticky notes.

04

Compliance shield

The system holds the line

A student with an expired medical can't book a flight. Required documents are tracked and flagged before they lapse — so the rule gets enforced even when you're busy.

05

Safety & squawks

One place for every report

Squawks and safety reports go in one log with a clear trail. Anonymous reports stay anonymous. A critical squawk takes the aircraft off the line.

06

Maintenance

Two clocks, watched for you

Track 100-hour and annual limits — on hours and on the calendar. Apex warns you as a limit approaches and grounds the aircraft when it's reached.

How it works

The flight, start to finish.

The same handoff your school already runs every day — just without the paper, the math errors, and the lost revenue.

01

Schedule

Student requests a block. An instructor or admin approves it.

02

Dispatch

Preflight is acknowledged, starting Hobbs is captured, aircraft goes In-Flight.

03

Fly

The aircraft is locked to that flight — no double-booking, no confusion.

04

Check in

Ending Hobbs and Tach are entered. The system rejects impossible numbers.

05

Verify & bill

Instructor confirms the hours, adds notes, and the charge is calculated.

06

Student pays

The student sees the ledger and pays online. The loop closes itself.

What it looks like

Plain, fast, and built to be trusted.

No clutter, no dashboards full of charts you'll never read. A dispatch ticket carries the flight from check-in to a billed, locked record — with the rates frozen at dispatch so the math is always right.

  • Rates are frozen at dispatch. Change your pricing tomorrow and last week's flights still bill at last week's rate.

  • Once it's closed, it's locked. A billed flight can't be quietly edited. Corrections are made in the open, on the record.

  • Instructor pay is calculated too — on its own flight and ground rates, kept separate from what the student sees.

  • Every action is logged. Who returned an aircraft to service, who adjusted a meter — there's always a trail.

Built on the flight line, not in a boardroom.

Who's behind it

I'm Chris Peters. Before Apex, I spent my career in aviation — a V-22 airframe mechanic and aerial observer in the Marine Corps, an instrument-rated helicopter pilot, and the operations manager for a small flying business that ran sixteen aircraft across multiple states. Today I work in experimental flight operations.

That operations job is where Apex started. We were good at the flying. But there was always more to manage than time to manage it, and the flying had to come first — so the administrative side quietly slipped. Not because anyone was careless. That's just the nature of a busy small business with too few hands.

The tools that were supposed to help didn't. They were either too expensive to justify, or so complex they did ten things we didn't need and became a chore to use. Nothing was built for an operation our size.

Apex Ops Desk is the tool I wanted back then — simple enough to use on a busy day, focused on what a small flight school actually does, and priced so you know the cost before you ever call. We're not here to sell you the most software. We're here to take work off your plate, and to keep listening to the schools we work with about what would genuinely help.
